Oil Industry Insiders Slickly Integrate Pairsoft into Proprietary Software

Frontier Tubular Solutions provides OCTG (oil country tubular goods) services, storage and transportation to North America’s energy sector and has done so for more than 80 years. Today Frontier, which is headquartered in Houston, has two additional locations in Oklahoma City and Edmond, Oklahoma. The company has been using Pairsoft since 2009.
Running GP and a proprietary inventory management software called PipeVault, Frontier’s CEO John Schissler says the company needed a way to handle paperwork electronically (he estimates about 5,000-plus documents are processed monthly) and put it through an approval workflow integrated with both solutions. Schissler recalls investigating “a bunch” of competitors’ products, but many, he says, “made you put a sticker on every paper” . The bottom line for Frontier was all about efficiencies, since so much employee time was spent trying to find papers stashed in stacks of bankers’ boxes. “We had 50 file cabinets. Maybe 100,” he remembers. “Two storage units. And, let’s just say, hundreds and hundreds of boxes. They were 60-pounds . I was like, we’re going to get a worker’s comp claim for breaking back!”
As it turns out, integrating Pairsoft with PipeVault did not cause any issues, Schissler says. Frontier’s IT department did not even need to involve Pairsoft’s techs. “We scan thousands of inbound and outbound transactions into Pairsoft. It’s a workflow process completely outside of GP, yet integrated. If I pull a job from PipeVault, it will come back with all the documents that were scanned into Pairsoft,” he explains. “It tells me if it’s been invoiced.” Now, from any office or via a laptop anywhere with Wi-Fi, employees can access Pairsoft, pass information to Frontier’s corporate service center and route everything through a Pairsoft workflow process which expedites client billings.
After the introduction of Pairsoft, Schissler says effective processes were implemented across the board, including the way audits are handled: “We say, here’s access to GP—go at it. Or we email information to auditors without having to get up.” Accessing information and disbursing it through email is easy, quick and effective. “Up front the time is about the same to scan something in instead of putting it in a folder, but the time savings is not having to constantly research by looking through boxes. My guess would be it saves about five minutes every time you have to look for a document. Five minutes of course adds up over time. That’s where the efficiencies really come in,” he says.
In addition, “Having Pairsoft handle everything allowed us to downsize the corporate office space,” Schissler says. “The file room was about 400 square feet.” And, per a company mandate established not a moment too soon, “Nobody is allowed to order bankers’ boxes.”
