Greg Zinda, director of product management at Pairsoft, presented a webinar on the company’s AI-assisted general ledger coding feature for invoice automation in PaperSave. The feature works by drawing on the history of invoices a customer has already processed through PaperSave workflows and using that history to suggest which GL codes should be applied to a new invoice. Rather than relying solely on vendor-level defaults configured in an ERP, the model considers a combination of fields — in the demo environment, the vendor, invoice amount, and description — and can be configured to include other fields specific to a customer’s setup, such as entity in a multi-entity scenario, department, or location. From those inputs it suggests the top three codes it believes the invoice should be coded to.

The demo showed an invoice already loaded into PaperSave with OCR-extracted fields including vendor and invoice number. The distribution field is unchanged from what existing customers already use; the only visible difference is a new AI icon beside it. Clicking the icon opens a dropdown listing suggested account numbers, and additional columns such as account description or class can be added to help users choose. Selecting an account automatically populates it into the distribution field. Multiple accounts can be selected, but the system does not yet determine how to split the invoice amount across them, so that breakout remains manual. The step can be placed anywhere in a workflow configuration — the only requirement is that the fields feeding the recommendation are filled in before the user clicks the AI dropdown.

Deployment was described as requiring little customer involvement. Pairsoft examines a customer’s data to determine which fields are useful for the model, though customer input on relevant fields is welcomed. The feature is currently being deployed to a handful of customers and is available now to others who sign up. It is not included in the core product and is sold separately as a subscription, with no additional implementation or setup cost mentioned beyond the subscription itself; a free trial period is offered. It is available only in PaperSave Cloud version 7 and not to customers still on version 6 Service Pack 11 in the cloud.

Looking ahead, Pairsoft is planning additional AI use cases, including suggesting which approvers should review an invoice and PO line-level matching of invoice line items to PO lines in the ERP. Extending suggestions to other data types, such as project fields for Blackbaud customers and other columns for GP clients, was described as a possible future use case. Reading the actual invoice image is being investigated, primarily because PO line-level matching is not achievable without it; today the system works only from historical coding patterns and not from the invoice content.

The Q&A covered a range of practical questions. For GP customers with default GL codes on the vendor card, an AI selection can replace the default that came in. Intercompany scenarios would involve also suggesting the destination company column in the distribution table, though this scenario has not come up often. The feature follows existing permissions on editing the distribution table rather than adding its own user restrictions, and taking the current user into account as a signal was described as possible but not currently implemented. Invoices split across more than three GL accounts are not a good fit yet, since only three codes are suggested and amounts are not broken out. The feature is not currently available in PaperSave smart forms, and Oracle Fusion is not supported because a PaperSave integration for it does not yet exist; a NetSuite integration was described as coming soon.

What does the AI GL coding feature actually do?

Where in a workflow does the AI coding step happen, and what is required to deploy it?

It can be placed at any point in a workflow configuration — the beginning, the middle, or wherever invoices are normally coded.
