Blackbaud video transcript:
[00:00:06] As we go through our demonstration
[00:00:08] today, there’s actually going to be five
[00:00:09] things that I want you to be looking out
[00:00:10] for, paying close attention to. The
[00:00:12] first three are listed here. We do want
[00:00:15] to rely on your ERP, in this case FENXT,
[00:00:18] for as many of your defaults as is
[00:00:20] possible. Your ERP should remain your
[00:00:23] central source of truth. And as long as
[00:00:25] that’s the case, again, we want to make
[00:00:27] sure that that’s where we’re pulling
[00:00:28] over as much information as we possibly
[00:00:31] can, pre-filling as many fields as
[00:00:33] possible when your invoices come in, and
[00:00:36] making sure that your coding stays
[00:00:37] accurate.
[00:00:38] We’re going to touch on two different
[00:00:40] dashboards inside of the PaperSave
[00:00:42] environment as well. Those dashboards
[00:00:44] give us that nice high 30,000-foot
[00:00:46] overview view of everything that’s going
[00:00:48] on inside of your invoice environment,
[00:00:51] looking to see where your invoices are
[00:00:52] at currently in our active invoice
[00:00:54] dashboard,
[00:00:56] as well as where they’ve been at
[00:00:57] previously in our historical invoice
[00:00:59] dashboard.
[00:01:01] Also, I’m going to show off some of our
[00:01:03] search capabilities. We’re going to
[00:01:04] highlight some things that make us very
[00:01:06] different than our competition, and some
[00:01:08] ways that you can really empower your AP
[00:01:10] staff to get the information that they
[00:01:12] need, get it quickly, and bring that
[00:01:15] information to your negotiating table,
[00:01:17] enabling you to be able to see just
[00:01:19] what’s going on with not just some of
[00:01:20] your invoices, but all of your invoices.
[00:01:23] Hopefully, we’ll have time as well to
[00:01:25] touch on one of my favorite things,
[00:01:27] which is our AI agents that are
[00:01:29] available to assist your AP team in
[00:01:31] moving things along just a little bit
[00:01:32] quicker, and giving them better accurate
[00:01:34] information based on the data that you
[00:01:36] put in to your files every single day.
[00:01:40] So,
[00:01:41] let’s go ahead and get into that
[00:01:42] demonstration environment together,
[00:01:45] and get started.
[00:01:47] Now, when you come in and you talk with
[00:01:49] us, and you sit down for a
[00:01:50] demonstration, you’ll get invited in to
[00:01:54] speak with one of our account managers
[00:01:55] and a sales engineer like myself to
[00:01:58] actually sit down and talk about what’s
[00:01:59] appropriate for you and for your
[00:02:02] organization. We’ll show you in real
[00:02:04] time how our optical character
[00:02:06] recognition system works. We’ll pull in
[00:02:08] invoices and we’ll actually show you
[00:02:10] some of the best features of Blackbaud
[00:02:13] and Keap or Sage, how they work together
[00:02:15] in a fantastic one-on-one environment
[00:02:18] where you get to invite all of your team
[00:02:20] members, we sit down with you and you
[00:02:22] get the opportunity to really ask a lot
[00:02:23] of great questions. I’m going to show
[00:02:25] you a little bit of what that looks like
[00:02:27] in here today as we’re sitting here
[00:02:29] talking, but honestly, nothing beats
[00:02:31] doing it like
[00:02:33] together when you get to sit down with
[00:02:34] one of us. We have a variety of
[00:02:36] different ways that we can pull invoices
[00:02:38] into our environments. Most of my user
[00:02:41] groups really do prefer to pull things
[00:02:44] in via email. We have the ability, of
[00:02:46] course, to monitor one or more email
[00:02:48] inboxes.
[00:02:50] One or more email inboxes to be able to
[00:02:52] grab different um
[00:02:55] invoices as they’re coming in and pull
[00:02:57] those right into your system and
[00:02:59] immediately start processing those.
[00:03:00] That’s really pretty nice because again,
[00:03:02] our system works 24 hours a day, 7 days
[00:03:04] a week. So, we’re working pretty quickly
[00:03:06] for you.
[00:03:07] If you need to, you can scan invoices in
[00:03:10] as well using Fujitsu scanners or any
[00:03:12] other Twain compliant scanners. But, for
[00:03:15] the purposes of what we’re doing today,
[00:03:16] I’m just going to grab an invoice and
[00:03:18] I’m going to use our drag and drop
[00:03:20] feature so that we can see just how
[00:03:21] quickly an invoice comes in and gets
[00:03:23] processed through that optical character
[00:03:25] recognition.
[00:03:27] Now, we can see together, this is one of
[00:03:28] my favorite pieces of what I get to do.
[00:03:30] I get to take my hands off the mouse and
[00:03:32] I get to show you just how quickly an
[00:03:34] OCR scan happens. We can see that it’s
[00:03:36] actually processing, the script is being
[00:03:38] executed, and my OCR’s doing two things
[00:03:40] at once. It’s reading the front of that
[00:03:42] invoice and it’s looking to see the
[00:03:44] address on the front of that invoice to
[00:03:46] try to match to get the right vendor.
[00:03:49] So, we can see that it’s obviously found
[00:03:51] the right vendor, it’s found Dell
[00:03:52] Marketing, it’s found great information
[00:03:55] on there like the invoice amount or the
[00:03:57] invoice number. But also, because it
[00:04:00] found the correct vendor, it’s pulling
[00:04:02] over all kinds of information, like I
[00:04:04] said, from the ERP, those defaults. It’s
[00:04:07] pulling over things like payment terms.
[00:04:10] From there, it’s calculating things like
[00:04:12] due dates. It’s pulling over
[00:04:13] distribution information. It’s pulling
[00:04:15] over as much information as it possibly
[00:04:17] can to make your AP team’s jobs that
[00:04:21] much easier.
[00:04:23] Based on the information that you give
[00:04:24] us, we’re then able to go ahead and set
[00:04:27] up review flows. So, based on who your
[00:04:30] vendors are, what dollar amounts those
[00:04:32] have,
[00:04:34] what information do you have that will
[00:04:36] help us to be able to route your
[00:04:37] invoices appropriately. So, maybe
[00:04:40] everything that comes in from this
[00:04:41] particular vendor needs to go through
[00:04:43] certain review steps. Once these fields
[00:04:46] are appropriately
[00:04:47] appropriately filled out, your reviewers
[00:04:50] are able to quickly glance at the
[00:04:51] fields, ensure that the proper
[00:04:53] information is there, and either approve
[00:04:56] or reject, moving the invoices along to
[00:04:58] the next step in their life cycle.
[00:05:01] At our core, of course, we’re a document
[00:05:03] management system. And because of that,
[00:05:05] you would expect, and I’m sure you do,
[00:05:07] that we have certain document management
[00:05:09] features. That means that your staff is
[00:05:12] also able to manipulate these documents
[00:05:14] if they need to. So, if they’re looking
[00:05:16] at this invoice and there’s something in
[00:05:18] here that they need to be able to
[00:05:20] highlight, or if there’s something that
[00:05:21] they need to be able to draw attention
[00:05:23] to, circle, maybe stick a little post-it
[00:05:26] note on there, we certainly provide
[00:05:27] those sorts of features as well. And I
[00:05:30] think that that’s just something that
[00:05:31] should be a bare minimum.
[00:05:33] Any sort of comments can be added.
[00:05:35] All of these things stay with the
[00:05:37] document. They become part of that
[00:05:39] document and part of its life cycle.
[00:05:41] We’re not losing things in email, we’re
[00:05:43] not shooting things over in Teams
[00:05:44] messages, they stay with that document
[00:05:47] throughout the entirety of its life
[00:05:48] cycle. I think that that’s important,
[00:05:50] not just for transparency, but for audit
[00:05:52] purposes as well.
[00:05:54] As your documents pass through the
[00:05:56] system, your auditors are able your
[00:05:59] administrators and auditors are able to
[00:06:01] see where things are at at all times. So
[00:06:04] again, I’m in here as myself, but I can
[00:06:06] see where everything is. But for other
[00:06:08] users, they’ll only see the things that
[00:06:11] are appropriate for them. When Bruno
[00:06:13] logs in, Bruno only sees Bruno’s items.
[00:06:15] When Tammy logs in, Tammy only sees
[00:06:17] Tammy’s items.
[00:06:19] That’s appropriate as well.
[00:06:22] But let’s talk a little bit more about
[00:06:23] those dashboard views. You want to be
[00:06:25] able to come in here and see everything
[00:06:27] that’s going on, all of your invoices
[00:06:29] all at once. And let’s just sit here for
[00:06:31] a moment. If you’ve never seen this
[00:06:33] before, I like to think that this has
[00:06:35] got some of the best user experience
[00:06:36] that we’ve built into the system.
[00:06:39] Right up here at the top, you’ve never
[00:06:41] seen my invoices before, but you can
[00:06:42] look at this and say, “Hey, Sarah’s got
[00:06:44] 53 invoices that are outstanding in her
[00:06:46] demonstration environment.” You can also
[00:06:49] see the total dollar amount that I have
[00:06:50] outstanding.
[00:06:51] It looks like I’ve got one invoice
[00:06:53] that’s due today, and I’ve got seven
[00:06:55] invoices that are due in the next one to
[00:06:57] five days. By the way, all of these
[00:06:59] links, they’re clickable. So if I wanted
[00:07:01] to see exactly which invoices are due in
[00:07:04] the next one to five days, I can click
[00:07:05] that link. And there it is.
[00:07:08] There’s those invoices.
[00:07:10] Well, what can I do with that
[00:07:11] information? Maybe my finance team wants
[00:07:13] to know what’s due. I can click this,
[00:07:16] and now I can share this. It becomes a
[00:07:18] file that I can email, it becomes a link
[00:07:21] that I can copy, and I can shoot off to
[00:07:22] someone else. I can get that information
[00:07:24] to them in just a few clicks.
[00:07:27] But it also looks like I’ve got some
[00:07:28] things that are past due. That’s a
[00:07:30] little bit concerning.
[00:07:32] I can see down here in the lower
[00:07:33] right-hand corner, it looks like I’ve
[00:07:35] got a few things that are stuck in a
[00:07:36] variety of different steps. Some items
[00:07:39] that are in my review steps or
[00:07:40] escalation steps, but I can also see
[00:07:43] who done it. It just so happens that all
[00:07:46] nine of those past due items,
[00:07:48] those are Jane’s responsibility. Now,
[00:07:51] I’m going to mention real quick, this is
[00:07:52] the demo environment. Jane’s actually
[00:07:54] excellent and she would never actually
[00:07:55] be late on anything, but let’s go ahead
[00:07:58] and click through. Let’s see what
[00:07:59] happens. If I click, sure enough,
[00:08:01] there’s my nine items for Jane that are
[00:08:03] all late. Well, what can I do with this
[00:08:05] information? Same as before. I can click
[00:08:07] this and I can send this right to Jane
[00:08:09] and say, “Girl, you need to get on this.
[00:08:11] We need to take care of these things.”
[00:08:13] Maybe I could send it to Jane’s manager
[00:08:14] and say, “Get Jane on this.” But, maybe
[00:08:17] Jane’s out of the office. Maybe
[00:08:18] something has happened. I have the
[00:08:20] ability to redirect these. I can change
[00:08:23] who the responsible owner is for these
[00:08:25] and then the items can continue to move
[00:08:27] on. Business shouldn’t stop just because
[00:08:29] someone needed to go out of the office.
[00:08:31] Now, if I knew that Jane was going out
[00:08:33] of the office, I had the ability to
[00:08:35] automate that, too. Um it’s one of my
[00:08:37] favorite features and it enables us to
[00:08:39] put in. Um you can do this as an
[00:08:41] administrator, actually. You know when
[00:08:43] someone’s going out, so I could say,
[00:08:44] “Hey, Jane’s going to be out from Ja- uh
[00:08:48] uh April 1st to April 14th and during
[00:08:50] that time period, go ahead and escalate
[00:08:53] her items to Amanda.” And so, during
[00:08:56] that time period, the system will
[00:08:57] automatically say, “Anything that should
[00:08:59] go to Jane, go to Amanda. Anything that
[00:09:00] should go to Jane, go to Amanda.” And on
[00:09:01] the 15th, when Jane’s back,
[00:09:03] it’ll send start sending things right
[00:09:05] back to Jane again. And I think that’s
[00:09:07] pretty great.
[00:09:08] The bigger and more complex your
[00:09:09] organization is, the more advantageous
[00:09:11] that becomes, but even for smaller
[00:09:13] organizations, when everybody’s wearing
[00:09:15] three and four hats, it’s pretty awesome
[00:09:17] there, too.
[00:09:18] Anyhow, so that’s what some of those
[00:09:20] dashboard features um can really do for
[00:09:22] you. In historical invoices,
[00:09:24] this is a little harder to show in my
[00:09:26] demo environment cuz we don’t have real
[00:09:28] people in here, um but we do show things
[00:09:30] uh year-to-date, so I can see who my
[00:09:32] fastest approvers are, as well as my
[00:09:34] slowest approvers. I can see what our
[00:09:36] average invoices are. Again, not so
[00:09:39] great because it’s a demo environment,
[00:09:40] but I hope that you can at least
[00:09:42] extrapolate from this information what
[00:09:44] this might look like for you. How How
[00:09:47] often your invoices are being processed
[00:09:48] on time or past due.
[00:09:51] Um you can look at previous years data
[00:09:52] as well, last calendar year quarter
[00:09:54] date, or you can select your own date
[00:09:56] range for that as well. Um it’s nice to
[00:09:59] get this kind of information, and
[00:10:00] especially if you’re a new user group,
[00:10:02] we’ve seen some groups have a lot of fun
[00:10:04] with fastest and slowest approvers.
[00:10:06] Maybe make that a little bit of
[00:10:08] a little bit of a competition there, I
[00:10:09] suppose, as well.
[00:10:11] So,
[00:10:12] back here in my workflows and looking at
[00:10:14] all my different invoices that are
[00:10:16] processing through,
[00:10:18] I want to talk about how you find some
[00:10:19] of your own information in here as well.
[00:10:22] My expectation, anytime I’ve got any
[00:10:24] sort of a database where I’m moving
[00:10:26] information around, my expectation is
[00:10:29] that I should be able to search for my
[00:10:30] information
[00:10:31] as often as I need to. And I think that
[00:10:33] that’s a pretty basic expectation that
[00:10:35] anyone should have, right? I should be
[00:10:37] able to grab very basic information, and
[00:10:40] I should be able to search for it. I
[00:10:41] should be able to find anything that has
[00:10:43] that information inside of essentially
[00:10:45] what is a very large database. So, if
[00:10:47] I’m looking for anything with this
[00:10:49] particular invoice number, well, sure,
[00:10:51] I’m going to find anything that has lots
[00:10:54] of that, you know, that contains that
[00:10:56] particular invoice number, right? Like
[00:10:58] that makes perfect sense to me.
[00:11:01] But what if I wanted to find something
[00:11:02] that was a little bit more
[00:11:04] complex?
[00:11:06] What if I wanted to find something that
[00:11:08] maybe only existed on some of my
[00:11:10] invoices? Um and I love this feature. I
[00:11:13] love to be able to look at my invoices.
[00:11:16] I love to be able to look at the
[00:11:17] information that’s on my invoices. I
[00:11:20] love to be able to find um the
[00:11:22] information that’s contained in my
[00:11:24] invoices. Like, you know, we had that
[00:11:26] one computer that we bought from that
[00:11:28] one guy, and I’m not sure whose laptop
[00:11:31] it was that we bought, but wasn’t the
[00:11:32] sales guy’s name Brett?
[00:11:34] Well, just so happens that we’ve got
[00:11:36] this optical character recognition
[00:11:38] system, and I typed in the name Brett,
[00:11:40] and sure enough, I’m going to find every
[00:11:41] instance we use my invoices, by the way.
[00:11:44] Oh, look, there’s our sales rep, Brett,
[00:11:46] because the optical character
[00:11:48] recognition system knows to read the
[00:11:50] front of the invoices. I think that’s
[00:11:52] pretty cool, and it’s neat to be able to
[00:11:54] find information that level of quickly.
[00:11:57] If I want to build more complex
[00:11:58] searches, we have the ability to do
[00:12:00] that, as well. Um I mentioned at the top
[00:12:02] of the call that my background is in
[00:12:04] software, and I’ve worked in software,
[00:12:06] worked around software for a long time.
[00:12:08] Um being able to parse your data and
[00:12:10] parse your information, get it out of
[00:12:12] here quickly, is one of my favorite
[00:12:15] features, as well.
[00:12:16] I’m pretty sure that almost everyone
[00:12:18] that’s on this call is in the AP field,
[00:12:21] right? You’ve had somebody at some point
[00:12:23] look at you and say, “Hey, I need all of
[00:12:25] the invoices for this particular client,
[00:12:27] for this particular time period, or I
[00:12:29] need all of the information from this
[00:12:32] time period and this time period. I need
[00:12:33] these dates. I need all of this stuff.”
[00:12:35] And all of a sudden, your day
[00:12:37] collapses out from underneath you,
[00:12:39] because somebody needs information that
[00:12:40] you need to be able to find, and you
[00:12:42] need to be able to find it quickly.
[00:12:43] Um and we do that for you. That’s what
[00:12:45] our advanced search is for.
[00:12:48] I have this search built in here, and I
[00:12:50] just want to show you the features on
[00:12:51] this one. I I’m not building SQL
[00:12:53] database queries here. I’m using the
[00:12:55] tool that already exists.
[00:12:58] Um it’s part of the features. It’s built
[00:13:00] into the tool. So, all I’ve said is,
[00:13:02] “Show me all of my invoices
[00:13:06] from Northwind Traders that are more
[00:13:08] than $500 that came in between
[00:13:12] April 1st of 2024 and June 30th of
[00:13:15] 2025.”
[00:13:17] That’s all.
[00:13:18] That’s all I did. And it pulled all of
[00:13:21] that back from just that fast.
[00:13:23] And I have the ability, again, what can
[00:13:25] I do with this? Well, I can select
[00:13:27] these. I can export them. I can shoot it
[00:13:29] off to Excel. I can make a pivot table
[00:13:31] with that.
[00:13:32] If I wanted to change the criteria of
[00:13:34] this search, I can certainly do that. If
[00:13:36] I want to save this, adjust it, add
[00:13:38] other vendors in, I can do that, build a
[00:13:40] pivot table off of that. Sure looks like
[00:13:43] these vendors are raising their prices
[00:13:45] by 5% per year, but this vendor’s
[00:13:47] raising their prices by 10% per year.
[00:13:50] That’s fascinating. Being able to pull
[00:13:52] this information and data out of your
[00:13:55] own database, to be able to bring those
[00:13:58] receipts to the table, now your AP team
[00:14:01] becomes a lot more powerful. Now you
[00:14:03] have the ability to really start to use
[00:14:06] the data that your vendors are giving
[00:14:08] you every day and start to be able to
[00:14:10] negotiate. That’s pretty great stuff,
[00:14:13] and you don’t have to have any extra
[00:14:14] tools to do it. You don’t have to have
[00:14:16] some extra reporting tool that you’ve
[00:14:18] got to add on. This is something that’s
[00:14:20] baked into PaperSave natively, and it’s
[00:14:24] out there for you to be able to use. So,
[00:14:26] if you want more information on any of
[00:14:28] this stuff, by all means reach out to
[00:14:29] us. Um we’re happy to show you some
[00:14:31] great ways to um
[00:14:33] to take advantage of those tools, again,
[00:14:35] that you’ve already got, that are
[00:14:37] already available to you. And again, if
[00:14:38] you’re not part of the PaperSave family
[00:14:40] yet, schedule a demo. Reach out to us
[00:14:43] after this webinar. Um sit down with one
[00:14:45] of our amazing account teams and uh and
[00:14:47] and sit with one of us and have us show
[00:14:49] you how we can do these sorts of things
[00:14:50] for you as well.
[00:14:53] Now, as I mentioned, we love to use your
[00:14:56] NXT environment. We love to use those
[00:14:58] defaults. Whenever possible, I want to
[00:15:00] grab those defaults from FE and I want
[00:15:03] to pull those in and use those to
[00:15:05] pre-populate those fields before we push
[00:15:07] your invoices over um to be processed by
[00:15:09] FE. I think that’s the very best and
[00:15:11] smartest way to do things. Um however,
[00:15:13] we do all have situations sometimes
[00:15:15] where, for whatever reason,
[00:15:17] the defaults don’t work. Um we can’t
[00:15:20] default. Um and and I’m trying to think
[00:15:22] of a couple uh good ones right off the
[00:15:24] top of my head, but one of my favorite
[00:15:26] examples is when we have a situation
[00:15:29] where you have one vendor that is
[00:15:32] working with multiple of your locations.
[00:15:35] And so, you can’t do a default GL for
[00:15:39] that vendor because you’re going to do a
[00:15:41] different GL depending on which location
[00:15:44] that vendor is delivering to. And so,
[00:15:46] I’m going to pick on my my dry ice
[00:15:48] vendor here, Airgas. And if I’ve got
[00:15:51] four buildings that Airgas delivers to,
[00:15:53] building one, building two, building
[00:15:54] three, building four,
[00:15:56] and I code my invoices differently
[00:15:59] depending on which building it is.
[00:16:01] That’s why I can’t put a default in
[00:16:02] there.
[00:16:04] What if
[00:16:05] What if I change my
[00:16:10] What if I change my um description
[00:16:13] every time? And instead of, you know,
[00:16:15] dry ice, and I’m going to say dry ice,
[00:16:17] you know, uh building one.
[00:16:21] And I’m going to do that every time that
[00:16:23] I want to distribute this for building
[00:16:25] one, and I code it that way. And then
[00:16:27] building two, I code it a different way.
[00:16:28] And building three, I code it a
[00:16:29] different way.
[00:16:31] If we’ve got the AI tool, and this is
[00:16:33] not baked in, this is an add-on, I want
[00:16:35] to be very clear, the AI tool is is uh
[00:16:38] is an add-on feature.
[00:16:40] If we can train the system to recognize
[00:16:44] that every time
[00:16:45] we do this, it’s coded a different way,
[00:16:48] the AI tool will in fact begin to pick
[00:16:50] that up, which is really pretty great.
[00:16:53] We can use things like the description
[00:16:54] field, we can use differing dollar
[00:16:57] amounts, we can even use who’s doing the
[00:17:00] coding.
[00:17:01] So, if everything else is the same, but
[00:17:03] when Sarah codes it, it goes to this GL,
[00:17:05] when Valerie codes it, it goes to that
[00:17:07] GL, when Jean codes it, it goes to that
[00:17:09] GL, we can even use that. So, the AI
[00:17:12] tool, again, it’s an add-on, but we
[00:17:14] found some really great ways to be able
[00:17:16] to use it. We’ve had it live now in the
[00:17:18] field for a little bit more than a year.
[00:17:20] Um and the feedback we’ve gotten from it
[00:17:22] has just been fantastic. Again, if
[00:17:24] you’ve got defaults and we can use the
[00:17:26] defaults, great. But the AI tool works
[00:17:28] really great for those instances where
[00:17:31] the default isn’t what we need at that
[00:17:34] time.
[00:17:35] And and it works out so well. If you’re
[00:17:38] an existing customer, we can use your
[00:17:40] existing data. Um and so that’s kind of
[00:17:42] a neat feature as well, to be able to
[00:17:44] just kind of click into that AI field
[00:17:46] and says, “Hey, based on how you’ve
[00:17:48] coded this before, we’re pretty sure
[00:17:49] that that’s the right one.” It
[00:17:51] auto-populates that for you. You say
[00:17:53] yes, and you’re good to go. And you can
[00:17:55] go ahead and approve that invoice. So,
[00:17:58] lots of great things to uh
[00:17:59] to show off there.
[00:18:01] I did promise you that I would take you
[00:18:02] into FE
[00:18:04] and show you just how good we look in We
[00:18:06] do look good in um which is so I’m still
[00:18:08] getting used to the new FE look. Um I
[00:18:10] don’t know if I’m the only one. I don’t
[00:18:11] know, maybe I just don’t spend enough
[00:18:12] time in FE. Um but they look so modern.
[00:18:15] And of course, we modernized right up
[00:18:16] there uh with with them as well. Uh we
[00:18:19] talked about some of these vendors that
[00:18:20] we’ve got tucked in here. I’ll just pull
[00:18:22] up Allied Cleaning as uh as my first
[00:18:24] example. But as I mentioned, PaperSave
[00:18:27] has a native tile. We live right inside
[00:18:29] here. So, for your Blackbaud users, um
[00:18:32] we live right in this environment.
[00:18:35] Many of our clients will use us to store
[00:18:38] additional documentation as well. Um
[00:18:40] because, you know, cloud storage, man,
[00:18:42] it’s it’s not getting cheaper anytime
[00:18:43] soon. Um it’s nice to be able to go
[00:18:46] ahead and stash additional documentation
[00:18:48] with PaperSave. So, if you’ve got
[00:18:50] contracts, you’ve got W-9s, you’ve got
[00:18:52] uh uh change orders, SOWs, whatever it
[00:18:55] is that you’ve got, to be able to say,
[00:18:57] “Hey, anything that’s paperwork-related
[00:18:59] for Allied, anything that’s
[00:19:00] paperwork-related for Dell, shove it
[00:19:02] into PaperSave. Keep it all in one
[00:19:04] place. Keep all of that interrelated
[00:19:06] documentation all stored in one place.”
[00:19:08] We can do that for you. As we look to
[00:19:11] where those invoices are at, we can look
[00:19:13] at any individual invoice, of course,
[00:19:15] that’s stored with PaperSave. We can see
[00:19:17] all of your incoming, outgoing
[00:19:19] information. And if you need to look at
[00:19:21] that specific document, I need to pull
[00:19:23] up that specific invoice, we can see it,
[00:19:25] of course, right in here on that
[00:19:27] PaperSave tile. And if I were to click
[00:19:29] that,
[00:19:30] it’s going to go ahead and open up that
[00:19:32] PaperSave window for me. It’s going to
[00:19:34] bring me right to that document where I
[00:19:36] can see everything that’s happened to
[00:19:38] that document,
[00:19:39] who approved it, when it was approved,
[00:19:41] who’s touched it, every fingerprint
[00:19:43] along the way, including date and
[00:19:45] timestamps all the way across. If you
[00:19:48] need to download these pieces, we also
[00:19:50] download all of that workflow history,
[00:19:52] as well. So, you can see when it was
[00:19:54] approved, who approved it, with a copy
[00:19:57] of the invoice itself, so we can provide
[00:19:59] those outward um to even people who are
[00:20:02] not PaperSave users. So, very useful uh
[00:20:06] very useful feature there.
[00:20:08] So,
[00:20:09] coming back to um again, some other fun
[00:20:12] things that we should be making sure
[00:20:13] that we cover
[00:20:15] in our uh in our stuff today. Let me go
[00:20:18] back to my current slide.
[00:20:21] do do do
[00:20:24] Last but not least, want to make sure
[00:20:25] that I’ve got time for it. Um
[00:20:27] once the invoices have been approved, we
[00:20:30] have many of our user groups that are
[00:20:32] then choosing to also take advantage of
[00:20:34] what we call PaperSave Pay.
[00:20:36] It’s a secondary um workflow that gets
[00:20:39] kind of appended to the end of that
[00:20:41] first workflow, enabling your staff to
[00:20:45] have then a payments approval process
