Demo: Using the PairSoft Pay Dashboard

Key takeaways

  • The PairSoft Pay dashboard is the first screen after login, showing current-month totals and period totals without extra reporting steps.
  • Dashboard data can be filtered by buyer or funding source, supplier invoices, and payment status, including a view of vendors currently accepting virtual card (vCard) payments.
  • After signing on with PairSoft Pay, Nexio runs due diligence against vendor data to identify which of your vendors already accept virtual cards through their other clients.
  • The vCard vendor count starts low for organizations paying by check and is expected to grow as Nexio performs vendor outreach on the customer's behalf.
  • The Orders tab lists processed invoices and tracks each payment through received, initiated, funded, sent, and settled stages.
  • Because funding is pulled at set cut-off times, a supplier with several invoices may receive a single combined payment.
  • A Supplier Activity tab supports filtering by funding source, payment method, supplier name, and date range for cash-flow comparisons across months; a payment aging tab also exists but was empty in this demo environment.

Overview

This session is a short product demonstration of the PairSoft Pay dashboard, walking through what a user sees after logging in with a username and password. The presenter's framing is that the information presented here is data most organizations either don't have or have to work hard to assemble, whereas in PairSoft Pay it appears immediately on the landing screen.

The dashboard itself shows the current month's total and period totals, along with filter controls the presenter describes as slicing and dicing the data. Available filters include buyer or funding source, supplier invoices, and payment status. One filtered view shows the vendors currently accepting a virtual card (vCard). The presenter notes that this number will look sparse for a new customer, since an organization paying by check will initially have no vendors on card.

A significant portion of the demonstration explains how that vCard number grows. After a customer signs on with PairSoft Pay, Nexio runs due diligence against the customer's vendor list, checking vendor data against its own database to find vendors — the example given is an office supply company such as WB Mason — that already accept virtual cards from other Nexio clients. The presenter calls these the low-hanging fruit and emphasizes that Nexio handles the vendor outreach, which is part of what the customer is paying for. In the demo environment only three vendors are receiving virtual cards, a figure the presenter says increases over time.

From the dashboard, the Orders tab provides invoice-level detail. Any column can be filtered; the presenter drills into a supplier record to show the payment lifecycle: information received (passed from PairSoft AP through the portal to Nexio), initiated, funded (funds pulled from the funding source), payment sent, and payment settled, meaning the supplier has received the funds. This applies regardless of whether the payment method is ACH, wire, virtual card, or check. The presenter also explains that funding is taken at cut-off times during the day, so a supplier that has submitted several invoices may receive one consolidated payment covering all of them, whereas in the demo data invoices and payments happen to be one-to-one.

The demonstration closes with two more tabs. Supplier Activity offers filters for funding source, payment method, supplier name, and date range, which the presenter uses to compare outbound cash flow between months such as April and May, and to isolate payment methods like wires and ACH or virtual card. The final tab is payment aging, which contains no data in this environment because the demo account is not actually making payments and is populated with dummy data.

Chapters
  • 0:06 — Logging in and landing screen — The presenter describes signing in with a username and password and arriving at the first page in PairSoft Pay, which is the dashboard.
  • 0:14 — Why this data is hard to get — The framing point is that this is data most organizations do not have on hand, and obtaining it normally requires jumping through hoops.
  • 0:24 — Dashboard totals and filters — The dashboard immediately shows the current month's total and period totals. The presenter describes filtering — slicing and dicing — by buyer or funding source, supplier invoices, and payment status.
  • 0:42 — Vendors accepting virtual cards — One filter shows all vendors currently taking a virtual card. The presenter notes this will look empty at first for an organization paying by check.
  • 0:55 — Nexio vendor due diligence — After signing on with PairSoft Pay, Nexio runs due diligence against the customer's vendors, checking vendor data against its database to find vendors that already accept virtual cards from other clients. An office supply vendor such as WB Mason is given as an example of low-hanging fruit.
  • 2:01 — Enrollment outreach and growth over time — Nexio handles the vendor outreach, which the presenter frames as part of what the customer is investing in. The demo account shows three vendors receiving virtual cards, a number expected to increase over time.
  • 2:03 — Moving to the Orders tab — Clicking the next tab over opens Orders, which lists the invoices that have been processed.
  • 2:16 — Funding cut-offs and combined payments — Funding is pulled from the funding source at cut-off times during the day. A supplier that submitted multiple invoices receives one combined payment, though in the demo data invoices and payments are one-to-one.
  • 2:50 — Filtering orders and opening a record — Any column in the Orders view can be filtered, and scrolling right reveals more information. The presenter filters to a supplier record — Wex Enterprise — and opens it.
  • 3:14 — Payment lifecycle statuses — The record shows the stages a payment moves through: information received from PairSoft AP through the portal to Nexio, initiated, funded when money leaves the funding source, payment sent, and settled when the supplier has the funds — the same regardless of ACH, wire, virtual card, or check.
  • 4:00 — Supplier Activity tab — The Supplier Activity tab offers filters for funding source, payment method, supplier names, and date range, which can be used to compare outbound cash flow between months such as April and May.
  • 4:31 — Filtering by payment method — The presenter filters supplier activity by payment method, looking at wires and ACH, then at virtual card, to see the details behind each method.
  • 4:55 — Payment aging tab and demo data — The final tab shown is payment aging, which has no data in this environment because the demo account is not actually paying anything and contains dummy data.
Questions this webinar answers

What appears on the PairSoft Pay dashboard when you first log in?

After entering a username and password, the dashboard is the first page shown. It displays the current month's total and period totals, along with filter controls for looking at the data by buyer or funding source, supplier invoices, and payment status.

How does PairSoft Pay determine which vendors accept virtual card payments?

Once a customer signs on with PairSoft Pay, Nexio runs a due diligence process against the customer's vendor list. It checks the vendor data against its own database to identify vendors that already accept virtual cards from other Nexio clients — an office supply company such as WB Mason is the example given. Those vendors are described as the low-hanging fruit, and Nexio reaches out to them directly rather than the customer's team doing that work.

Why would the count of vendors taking virtual cards be low at first?

An organization that has been paying by check will not have any vendors on virtual card when it starts. In the demo account only three vendors were receiving virtual cards. That number is expected to increase over time as Nexio performs vendor outreach and enrolls more suppliers.

What information does the Orders tab provide?

The Orders tab lists the invoices that have been processed and provides the detail behind the dashboard totals. Any column can be filtered, and scrolling right reveals additional fields. Opening an individual record shows the payment's progress through its processing stages.

What are the payment statuses a payment moves through?

A payment progresses through: information received, meaning the data came from PairSoft AP through the portal to Nexio; initiated; funded, meaning the funds were taken out of the funding source; payment sent; and settled, meaning the supplier or vendor has received the funds. These stages apply whether the payment method is ACH, wire, virtual card, or check.

Will a supplier with several invoices receive separate payments for each one?

Not necessarily. Funding is pulled from the funding source at cut-off times during the day, so a supplier that has submitted multiple invoices can receive a single payment covering all of them — for example one payment for three or four invoices. In the demo data shown, invoices and payments happened to be one-to-one.

How can you compare cash outflow between different months?

The Supplier Activity tab includes filters for funding source, payment method, supplier names, and date range. Setting a date range lets you look at outbound cash for one period against another, such as comparing April to May.

Can you view activity for a specific payment method?

Yes. On the Supplier Activity tab, the payment method filter can be set to view wires and ACH, or to isolate virtual card activity, and the underlying details for that method are shown.

Why was the payment aging tab empty?

The payment aging tab contained no information because the account being demonstrated is not actually making payments. It is populated with dummy data, so there was nothing to age.

Simple solutions. Powerful results. Seamlessly integrated.
