The Client: 

Southwest Waste Services is one of Florida’s fastest-growing waste-hauling, recycling, disposal, and dumpster-rental companies. Based in the Fort Myers area and serving local regions, SWWS is well known for its tech-forward services that allow customers to easily arrange disposals and pay their bills through a mobile app.

The Challenge: 

When SWWS – already a PairSoft AP Automation user – learned about PairSoft Procurement, it was because the technology limitations of their procurement needs within Microsoft Dynamics GP were forcing them to look for a broader solution. The company needed a more agile procurement platform to streamline purchase requests and improve approval workflows.

“[We needed] to close the gap on being able to manage vendor communication and automatically transmitting copies of the Purchase Orders to our vendor partners, while also being able to take advantage of approval escalation at different levels,” recalls Yoan Gomez, Director of Purchasing for SWWS.

The Solution: 

PairSoft Procurement, combined with their existing PairSoft AP Automation, offered SWWS a way to get the most out of their Dynamics GP setup while maintaining their existing invoice records – all within an implementation time of mere weeks.

“There were three stages: the training stage, the setup stage, and the go-live stage. However, this was all accomplished in a matter of two and a half weeks,” says Gomez. “There’s no data migration that takes place here because data is pulled directly from Dynamics GP.”

In collaboration with PairSoft’s Services team, SWWS was able to get 17 Procurement users up and running for comprehensive procurement in their existing ERP setup. What’s more is that as PairSoft has rolled out new features and capabilities for the solution, they’ve kept the SWWS team in the loop every step of the way: “The fact that improvements and tools that I’ve asked for have been deployed…it just makes everything all the better,” says Gomez.

The Results: 

Arguably the biggest advantage for SWWS has been PairSoft Procurement’s major transformation of their purchasing capabilities, processing 270 purchase requests in just 10 days. While that output alone is impressive, Gomez was most impressed by the hands-off process: “It speaks volumes where I had 270 orders released, but I only had maybe 6 instances of team members reaching out to me for guidance.”

By far the most impressive feature for Gomez, though, has been the purchasing catalogs. “Being able to create catalogs, assign pricing, GLs, vendors, and having part numbers there, that’s the right procurement…I’m using PairSoft Procurement as a direct procurement system.”
